Office Manager

Summary

The Office Manager will oversee support operations by supervising staff, planning, and organizing administrative systems. Ensure there is effective information flow and resources that are employed efficiently throughout the business. The Office Manager will also field questions from other administrators in the office in regards to HR and Accounting practices as it relates to day to day administrative functions.

ESSENTIAL DUTIES AND RESPONSIBILITIES

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Supervise office staff
  • Process payroll
  • Coordinate with client on monthly billing
  • Maintain all OEM warranty paperwork
  • Process and review repair orders
  • Coordinate input of all OEM recalls into system
  • Prepare technician productivity reports and follow-up with Shop Supervisors
  • Oversee vendor invoicing and verification to Corporate

SUPERVISORY RESPONSIBILITIES

Directly supervises Office Administrators. Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Responsibilities include training employees; planning, assigning, and directing work; addressing complaints and resolving problems.

EDUCATION and/or EXPERIENCE

High School Diploma or GED; strong computer skills in a Windows environment. A minimum of 5 years experience in the fleet/fleet maintenance environment. Good organizational and people skills.

LANGUAGE SKILLS

Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community. Ability to write speeches and articles for publication that conform to prescribed style and format. Ability to effectively present information to top management, public groups, and/or boards of directors.

MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

CERTIFICATES, LICENSES, REGISTRATIONS

Valid driver’s license required.

PHYSICAL DEMANDS

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; sit; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; and stoop, kneel, crouch, or crawl.
